Role Overview:

We are actively searching for a dynamic and enthusiastic Administrative Officer to join us. As an Administrative Officer at Urban Dog Spaw, you'll have the opportunity to make a significant impact on our operations. Your responsibilities will include overseeing administrative procedures, managing schedules, and coordinating meetings and events. You'll collaborate closely with various teams to streamline processes and enhance efficiency, ensuring that our high standards of service are consistently met. Furthermore, you will be instrumental in maintaining accurate records, handling correspondence, and responding promptly to inquiries from both clients and internal stakeholders. Your meticulous attention to detail and proactive problem-solving skills will be crucial in anticipating needs and resolving issues effectively.

What will you do in this role?

Review existing administrative procedures identify areas for improvement and develop and implement new procedures to streamline office operations and increase efficiency.
·         Provide administrative support, such as maintaining grooming records, tracking vaccination records, and managing client information related to specific grooming requirements.

·         Assess workload and prioritize tasks to ensure deadlines are met, monitor progress and provide feedback to ensure procedures are followed and tasks are completed accurately and in a timely manner.

·         Assist in maintaining records and documentation to demonstrate compliance with regulations and respond to any inquiries or audits related to government access to information and privacy legislation.

·         Maintain inventory controls for office supplies and timely replenishment of business-related consumables such as pet detergents, brushes, and pet snacks.

Assist in the development and preparation of the annual operating budget, monitor and control expenses to ensure adherence to the budget.
·         Collect and compile data from various sources to prepare periodic and special reports.

·         Handled customer appointments, assisted customers in ordering pet supplies and food, and conducted routine customer visits to gain an understanding of their needs.

Skills Requirements:

Expected Qualifications

·         Minimum a college degree in business or other administration-related fields.

·         Proven experience in an administrative role, preferably in a customer service-oriented environment.

·         Strong proficiency in office software and management systems.

·         Excellent communication skills.

·         Exceptional organizational and time management abilities.

·         Attention to detail and a high level of accuracy in data management.

·         Ability to multitask and prioritize tasks effectively.

·         Knowledge of the dog grooming industry is desirable but not mandatory.
